ZI288 - Travelling Personal Assistant/Travelling Butler - UK & International

Overview

Seeking a dynamic, professional and discreet full-time personal assistant/travelling butler for a principal based in India, who spends 50% of their time travelling to destinations such as New York, LA, London and Europe. The principal has a young family and is looking for someone to support the EA with all the principal’s private affairs whilst abroad. The successful candidate would be expected to travel during periods that the principal was outside of India, and often at short notice. When not travelling, the position will be London-based, working from home or from the Central London office. A 24/7 mentality will be essential- work hours will include evenings, weekends, and holidays when required. 

This role is ideal for someone who thrives in a dynamic, ever-changing environment and enjoys international travel. The successful Travelling Personal Assistant/Travelling Butler  will be resourceful, detail-oriented, and capable of managing multiple responsibilities with ease.

Responsibilities

This role involves managing logistics, handling confidential tasks, coordinating with various stakeholders, and ensuring the smooth execution of daily activities across different locations.  Specifically:

  • Schedule management for the principal and their family, including setting up accommodation, booking restaurants and appointments etc
  • Personal shopping and wardrobe management, including managing the principal's wardrobe while travelling in coordination with the styling assistant, and coordinating with designers and fashion houses on the principal's behalf
  • Coordinating and communicating with various stakeholders, including friends, suppliers, associates etc
  • Event and meeting coordination, support with planning and organising both business and personal events, dinners, meetings and ensuring all logistics are in place
  • Travel coordination
  • Financial and budget management, recording and tracking transactions, reporting on expenditures to CoS
  • Vendor and supplier liaison
  • Frequent and sometimes long-term travel, often with minimal notice
  • Working in various environments, from high-profile events to secluded destinations

Qualifications

The ideal candidate will be highly organized, flexible, and capable of managing an evolving schedule in fast-paced and often high-pressure environments.  You will need to be resourceful and detail-oriented, capable of managing multiple responsibilities with ease.  It would also be appreciated if candidates had prior experience with:

  • Event planning and/or hospitalityLuxury services and high-end brands.Negotiating and relationship-building

Requirements

  • Candidates must be able to keep calm under pressure and should be able to adapt quickly to changing circumstances, anticipate and resolve issues as they arise during travel or events, and handle unexpected delays, cancellations, or complications with a calm and efficient approach
  • Confidentiality & discretion are key, candidates will handle all personal and business matters with the utmost confidentiality and professionalism, and will manage sensitive documents and information in a secure and discreet manner
  • Proven experience as a Personal Assistant or Executive Assistant, preferably with experience in a similar travelling role (minimum 2 years)
  • Exceptional organisational and multitasking skills.
